Export the Participant List
OuiRace lets you export the complete participant list for your race in Excel (.xlsx) format. This feature is essential for event logistics: preparing race bibs, verifying registrations on-site, and archiving.
Running the export​
- Open your race from the organizer dashboard.
- Go to the "Participants" tab.
- Click the "Export" button located above the participants table.
- The Excel file is automatically downloaded to your computer.

The export includes all participants in the race, regardless of any active filters or the currently displayed page. You always get the complete list.
Excel file contents​
The exported file contains the following columns:

The file is in .xlsx format (Microsoft Excel). It can be opened with Excel, Google Sheets, LibreOffice Calc, or any compatible spreadsheet application.
Export use cases​
Preparing race bibs​
Use the export to prepare race bibs in advance:
- Export the participant list.
- Sort by format to group participants by distance.
- Assign bib numbers.
- Print labels or check-in sheets.
On-site verification​
On race day, the export lets you:
- Verify registrations at the check-in desk.
- Check participants off as they arrive.
- Distribute ordered items (t-shirts in the correct size, medals).
PPS management​
Filter the "PPS Status" column in the spreadsheet to quickly identify:
- Participants whose PPS is missing and who need to provide it on-site.
- Pending PPS that need to be validated before the race.
The exported file contains personal data (names, emails). In accordance with GDPR, make sure to store it securely and not share it with unauthorized third parties.
Archiving​
After the race, keep the export as an archive for:
- Your internal reviews.
- Any potential claims.
- Preparing future editions (participant history).
Best practices​
- Export regularly: run an export a few days before the race and a final one the day before to have the most up-to-date list.
- Back up: keep a copy of the file in a secure location.
- Check PPS: use the export for a final review of missing PPS before race day.
- Prepare items: use the "Ordered items" column to prepare race bags with the correct items and sizes.
