Approval Workflow
Every race created on OuiRace goes through an approval process before it becomes publicly visible. This workflow ensures the quality and compliance of events published on the platform.
Workflow steps
The approval cycle has three statuses:
Draft (draft) → Under review (in_review) → Published (published)
| Status | Description | Publicly visible |
|---|---|---|
| Draft (draft) | The race has just been created. You can edit it freely. | No |
| Under review (in_review) | The race has been submitted for validation. The OuiRace team is reviewing it. | No |
| Published (published) | The race has been approved and is available on the platform. | Yes |

Submit a race for approval
- Open your race from the organizer dashboard.
- Verify that all information is complete:
- Title and description filled in.
- At least one format configured.
- Start and end dates set.
- Click the "Submit for approval" button.
- The status changes from Draft to Under review.
Complete your race as much as possible before submitting: formats, GPX route, articles, detailed description. A well-documented race will be validated more quickly.
Validation process
Once submitted, your race is reviewed by the OuiRace team. The validation covers:
- Completeness of information: title, description, dates, formats.
- Content quality: clear description, consistent information.
- Compliance: adherence to the OuiRace terms of use.
Approval
If your race is approved, it moves to the Published status. Depending on the configured visibility, it will appear in the race list or remain accessible only via a direct link.
Rejection
If your race is rejected, it returns to the Draft status. You will receive a message explaining the reasons for the rejection and the changes to make before resubmitting.
The OuiRace team strives to process submissions as quickly as possible. The validation time depends on the current volume of requests.
"Not yet approved" message
Until your race has been approved, a "Not yet approved" message is displayed on the detail page. This message is visible only to you and your team members.

Unauthenticated visitors cannot access the page of a race that is in draft or under review. Only the race organizers have access.
Edit a race after approval
You can edit a published race. However, certain major changes may trigger a new review cycle. Minor changes (text corrections, schedule updates) are generally applied immediately.
Difference from the race status
The approval status is different from the race status. The approval status concerns validation by the OuiRace team, while the race status reflects the event lifecycle (registration open, ongoing, finished).
